Third-Party Services

To provide AI-powered features, we use the following third-party services:

1. AssemblyAI (Voice Transcription)

What we send:

• Audio recordings of your voice notes from inspections

Purpose:

• Convert speech to text automatically

Data processing:

• Audio is uploaded via encrypted HTTPS connection
• AssemblyAI processes the audio and returns text
• Audio files are deleted from AssemblyAI servers after processing

Data retention:

• AssemblyAI does not store your audio long-term
• Processed within minutes, then deleted

• You can disable cloud transcription in Settings
• Offline transcription uses on-device processing (no data sent)

2. OpenAI (AI Report Generation)

What we send:

• Transcribed text from your inspection voice notes
• Room names and inspection metadata (e.g., "Kitchen", "Living Room")

What we DO NOT send:

• ❌ Tenant names or personal information
• ❌ Photos or videos
• ❌ Your name or contact information

Purpose:

• Generate professional, formatted inspection reports using AI

Data processing:

• Transcribed text is sent to OpenAI's API via encrypted HTTPS
• OpenAI's GPT-4 model generates a structured report
• Report text is returned to your device

Data retention (per OpenAI's API policy):

• API requests are NOT used to train OpenAI models
• Data may be retained for 30 days for abuse and misuse monitoring
• After 30 days, data is deleted from OpenAI servers

3. Apple iCloud (Data Synchronization)

What we store:

• All property data, inspections, photos, and reports
• Synced automatically across your Apple devices

How it works:

• Data is stored in your personal iCloud account
• Only accessible by you and devices signed into your iCloud
• Encrypted in transit and at rest by Apple

• We do NOT have access to your iCloud data

4. Apple StoreKit (Subscription Management)

What Apple processes:

• Subscription purchases and renewals

• Anonymous transaction receipts to verify subscription status
• No payment details or personal information

Privacy:

• All payment processing handled by Apple
• We never see your credit card or payment information

Data You Control

You have complete control over your data:

• Edit or delete properties and inspections anytime
• Export data as PDF or JSON
• All deletions are immediate and permanent
• Uninstalling the app deletes local data (iCloud data remains until you delete it)

Your Privacy Rights

Access Your Data

• All your data is visible within the app
• Export inspections as PDF reports
• Export analytics data as JSON (Developer Settings)

Delete Your Data

On device:

1. Delete individual properties/inspections in the app
2. Delete the app to remove all local data

In iCloud:

1. iOS Settings → Apple ID → iCloud → Manage Storage
2. Find "Smart Property Check"
3. Delete data

From third-party services:

• AssemblyAI: Audio deleted automatically after transcription
• OpenAI: Data deleted after 30 days per their policy
• To request immediate deletion, contact support (see below)

Cancel Subscription

1. iOS Settings → Apple ID → Subscriptions
2. Select "Smart Property Check"
3. Tap "Cancel Subscription"
4. Your data remains accessible; only billing stops

Children's Privacy

Smart Property Check is not intended for use by children under 13. We do not knowingly collect information from children. If you believe a child has provided information through the app, please contact us immediately.

Data Retention

While Using the App

• Data stored indefinitely on your device and iCloud (your choice)

After Uninstalling

• Local data deleted immediately
• iCloud data remains until you manually delete it
• Subscription cancels when period ends (no auto-renewal)

Third-Party Retention

• AssemblyAI: Audio deleted after transcription (minutes)
• OpenAI: Text deleted after 30 days maximum
• Apple: Follows Apple's iCloud retention policy
